Tenants Terms and Conditions



Properties are let either unfurnished, part furnished, or furnished. It is the applicant’s responsibility to satisfy themselves in this respect and also with the condition of fixtures, fittings and general condition of the property prior to committing themselves.

Properties will be let on a 6 month Assured Shorthold Tenancy unless agreed otherwise.

Rent is payable monthly in advance and must be paid by bank standing order. Rent is exclusive of other outgoings.

A dilapidations deposit equivalent to one month’s rent plus £250 is payable at the start of your tenancy (unless advised otherwise). The dilapidations deposit will be held by Coles & Co as stakeholder except in instances where we do not manage the property, in which case the deposit will be held by the Landlord.

Note: Payment of the first month’s rent and the balance of the dilapidations deposit must be paid either in cash, by bank draft or credit/debit card (Note: There is a 2% surcharge on all credit/debit card transactions).

Coles & Co:

  • Do not accept the local authority deposit guarantee or finders fee schemes

  • Do not let to groups of individuals (three or more)

  • Do not let to persons under the age of 21

  • Do not accept pets or smoking in properties unless the specific agreement of the Landlord has been obtained.

Applicants and Guarantors must complete the appropriate application form in full. Applicants in receipt of Housing Benefit or whose income does not meet the following criteria must have a suitable Guarantor.

To reserve a property, there is an administration fee of £176.26 (£150 plus vat) plus £250 (this will be part of your dilapidations deposit). The administration fee is non refundable and the £250 will only be refunded if your application is declined for reason other than adverse references.

There is an administration charge for tenancy renewal/extensions of £58.75 for a 6 month contract, £70.50 for a 12 month contract and £88.13 for a statutory periodic extension.

Note: All payments by Visa & Mastercard are subject to a 2% surcharge.

Applicants are required to complete an application form and provide supporting documentation, last three months’ payslips, last three months’ bank statements and identification in the form of a driving licence or passport. Written references will be required from your current landlord or mortgage lender, current employer and a bank reference. In some cases, references may be required from previous employers and previous landlords.

Self employed applicants must have completed at least one year of trading and either an accountants reference will be required or Inland Revenue self assessment calculations. In some cases a Guarantor may be required who must be able and willing to provide both documentation and references as previously mentioned.

Some Landlords will consider prospective tenants who are in receipt or will be eligible for Housing Benefit assistance providing they have an acceptable Guarantor. Prospective tenants should ensure that the Landlord will accept tenants in receipt of Housing Benefit before viewing a property and will be required to submit a rent pre-determination to the local authority at the same time they submit their application to us.

The dilapidations deposit is refundable at the end of your tenancy subject to the property being returned in a satisfactory condition.

All tenancies are exclusive of all outgoings including council tax, water rates, electric power and gas, unless otherwise stated.
